Rentam-gh Identity Verification Policy

Rentam-gh (operated by Shai-digi Studio) is committed to creating a safe and trusted rental marketplace for users across Ghana. To protect Listers, Renters, and the integrity of the platform, Rentam-gh requires users to verify their identity before accessing certain features.

This Identity Verification Policy explains how Rentam-gh collects, verifies, uses, stores, and protects identity information, in accordance with the Data Protection Act, 2012 (Act 843). It should be read alongside our Terms and Conditions and Privacy Policy, which cover how we handle personal data more broadly.

1. Purpose of Identity Verification

Identity verification helps Rentam-gh:

• Reduce fraud and fake accounts.
• Prevent duplicate accounts.
• Protect users during rental transactions.
• Improve trust between Listers and Renters.
• Assist with disputes and investigations.
• Comply with legal and security obligations.

2. Information We Collect

To verify identity, Rentam-gh may collect:

• Full legal name.
• Date of birth (used to confirm you meet the minimum age of 18 required under our Terms and Conditions).
• Ghana Card number.
• Image of the front of Ghana Card.
• Image of the back of Ghana Card.
• Profile information.
• Registered Ghana phone number.
• OTP verification records.
• Address information.
• Additional verification information where required.

3. Ghana Card Verification

Rentam-gh uses the Ghana Card as the primary identity document for user verification.

Users may be required to upload:

• A clear image of the front of their Ghana Card.
• A clear image of the back of their Ghana Card.

Submitted documents must:

• Belong to the account owner.
• Be genuine and unaltered.
• Be clear and readable.
• Match the information provided during registration.

4. Phone Number Verification

Rentam-gh verifies ownership of a user's Ghana phone number through One-Time Password (OTP) authentication.

• OTP codes are sent to the registered phone number.
• Users must enter the correct OTP to continue.
• Users must not share OTP codes with anyone.

Successful OTP verification confirms control of the registered phone number but does not replace identity verification.

5. Vendor Verification Requirements

Users who want to list items as Listers must complete identity verification before creating listings.

A Vendor profile may require:

• Verified identity.
• Completed profile information.
• Ghana address.
• Verified phone number.
• Additional checks for high-value items.

6. Duplicate Account Prevention

Rentam-gh uses identity information to prevent multiple accounts being created by the same person.

Users must not:

• Create multiple accounts using different phone numbers.
• Use another person's Ghana Card.
• Create accounts using false identities.
• Transfer verified accounts to another person.

If Rentam-gh detects or reasonably suspects duplicate or fraudulent accounts, Rentam-gh may restrict, suspend, or terminate affected accounts.

7. Verification Review Process

Rentam-gh may review submitted information using automated systems, manual review, or a combination of both.

Verification may be delayed if:

• Documents are unclear.
• Information does not match.
• Additional review is required.
• Fraud concerns exist.

8. Verification Does Not Guarantee User Behaviour

Identity verification confirms that a user has provided information that passes Rentam-gh's verification process.

Verification does not guarantee:

• A user's honesty.
• A user's financial ability.
• The condition of a rented item.
• Future behaviour.

9. Use of Verification Information

Rentam-gh may use identity information for:

• Account security.
• Fraud prevention.
• Dispute resolution.
• Payment security.
• Platform enforcement.
• Legal compliance.

Rentam-gh does not sell user identity information.

10. Storage and Security

Rentam-gh takes reasonable measures to protect identity information, including:

• Encryption of sensitive information.
• Restricted access controls.
• Secure authentication methods.
• Monitoring for unauthorized access.

Rentam-gh servers are hosted within the European Union. Where your identity information is transferred or stored outside Ghana, we take steps to ensure this complies with the cross-border transfer requirements of the Data Protection Act, 2012 (Act 843).

11. Failed Verification

Rentam-gh may refuse verification where:

• Documents appear fraudulent.
• Information does not match.
• Required information is missing.
• Verification requirements are not satisfied.

Users may be requested to provide additional information or correct submitted details.

12. Legal Requests

Rentam-gh may disclose identity information where required by law, court order, regulatory authority, or lawful government request.

13. Changes to This Policy

Rentam-gh may update this Identity Verification Policy from time to time. Material changes will be communicated via in-app notification or email. Continued use of Rentam-gh after updates means acceptance of the revised policy.
